Answers to Frequently Asked Questions about Utilization Sensors

As part of a space study taking place this fall and spring, sensors will be deployed for short periods to better understand trends in how we use space today and ultimately help us maximize the impact our real estate assets have on faculty, staff and students in the future. The use of sensors, however, naturally raises questions. To be transparent, we are sharing answers collectively through FAQs below. If you have additional questions, please don’t hesitate to reach out to us.

Frequently Asked Questions

Q: What data is being collected by the sensors?

A: Only occupancy data is being collected. For small spaces like workstations and offices, occupancy is simply whether one or more people are present at set intervals. For larger communal spaces like classrooms and meeting rooms, the number of people present is also collected.

Q: What data will not be collected by the sensors?

A: No personally identifiable data is being collected. In addition, data such as keycard swipes to enter/exit a space and network usage will not be collected.

Q: How can we guarantee that our privacy is not being compromised?

A: The sensors are only capable of detecting whether people are present or not, and are only capable of recording and transmitting numerical occupancy data. They have no ability to record images, audio, or any other information about activities in a space. The company providing the sensors – – meets stringent global data privacy and security standards, including Europe’s General Data Protection Regulation and the ISO 27001 standard.

Q: What types of sensors are being used and how do they work?

A: All sensors being deployed use passive infrared technology, similar to sensors used in some light switches to automatically turn on lights on and off. The sensors do not scan spaces but rather detect heat signatures coming from people. In offices and workstations, simple infrared sensors will be used that can only tell when a person is close to the sensor. They are primarily placed under desks to be out of the way but still close enough to be triggered when someone is at the desk. Being under the desk also helps to eliminate incidental activity, as when custodial staff may be passing through to empty trash. In conference rooms, more sophisticated infrared sensors are used that can tell how many people are present based on multiple heat signatures. In larger classrooms and labs, infrared sensors are used at egress points to track how many enter and exit the space over time.

Q: Why was my space selected?

A: Since looking at every space in every existing facility on our campuses was impossible, we chose to look at the four most-populated academic and administrative buildings on campus. In the fall we are focusing on office space and in the spring on learning, research and study spaces.

Q: How will the data be used?

A: Patterns of occupancy for classrooms, conference rooms, lounges, labs, offices and workstations will be analyzed at the building level to determine trends related to space use. Findings, combined with input from faculty and staff via a workplace survey, will be used to explore how we can most effectively support our growing needs.

Q: Who has accessto the data?

A: Only and , the teams managing the study, will have direct access to raw data. In addition to meeting global data security and privacy standards, both have contractual obligations to follow our data policies and maintain confidentiality. Processed data will be shared with the real estate planning team in Facilities to understand findings and their implications, which will be shared with the Montclair State community through the various shared governance groups.

Q: What happens to collected data once the studyis done?

A: Raw data will be stored by and for a limited time following the completion of the study to allow for additional analysis and validation if necessary. After that point, raw data will be deleted.

Q: What is the timing?

A: Data collection in office, workstations and conferences will end after a four-week period in October. New sensors will be installed in classrooms, labs and lounges in the same buildings over winter break, and those sensors will collect data for four weeks ending in February.

Q: Can space reallocation decisions be made prior to the completion of the space assessment study?

A: In general, no space relocation decisions will be made prior to the completion of the space assessment study. This is to ensure that all space reallocation decisions are data-driven, objective, and reflect our short and long-term space utilization strategy.

  • Sprague Library Breakroom – the staff of Sprague library will be enjoying a refreshed breakroom beginning this fall.
  • Dickson Advising Center – the existing advising center on the 4th floor is relocating to the 1st floor off of the main elevator lobby where a new entrance to their office suite will be created. There will be a new reception area with renovated advising offices for students in CHSS. Grand opening is scheduled for October 21, 2022.
  • Sidewalks, sidewalks, sidewalks – we have made several improvements to the various sidewalks at Life Hall, Sprague Library, Quad Road, University Quad, and the Eastern University Promenade to help keep our community safe!
  • Student Center Elevator Upgrade – get ready for a smoother ride top to bottom! We have upgraded the hydraulic system and added a new Battery lowering system in case of power failure in the building.
  • Sokol Classroom – The Sokol Seminar Room in Science Hall was renovated to expand the seating capacity by removing closets and other antiquated displays. The project also replaced the flooring, lighting, window treatments and furniture improving the overall aesthetic of the space.
  • University Hall Conference Center – we have improved the acoustics in the ballroom by upgrading the acoustical panels.
  • Student Center Upgrades – we’ve created a brand new office to accommodate the Director of Health Promotions in the Student Center; the first floor ballrooms have been repainted; the fourth floor received new carpeting and painting; the Student Center Annex roof was replaced; we are also continuing safety improvements on campus by repairing the aluminum handrails at the main entrance to the student center. Lastly, we’re moving some of the SDCL offices back into their original home in the student center.
  • Recreation Center – The Student Recreation Center pool wing (Natatorium) is a little brighter thanks to some new lighting. The old lights were 16 years old and not energy efficient. One interesting aspect of the project is that the old lights are directly above the pool, and removing them would have involved draining the pool and erecting giant scaffolds. Instead we hired a rigging company to climb onto the rafters above the pool using ropes to detach and remove the old lights.
  • University Hall – Two separate roofs needed to be replaced; one over the loading dock and another above the fourth floor.
  • School of Nursing – The School of Nursing Simulation Lab will be receiving several new equipment upgrades including a new SimBaby manikin and suite of Point/Tilt/Zoom cameras. We are also installing a second Anatomage Virtual Anatomy Dissection Table and set of 3D Human Anatomy Virtual Reality Tablets.
  • School of Communication and Media – You will find a new small broadcast studio with a glass storefront, acoustical wall panels and an anchor reporting desk in the SCM lobby. This studio will allow students to watch the production from the outside looking in from the main lobby and grand stair. The storefront will have double doors to permit the broadcaster to walk out into the atrium lobby for viewer participation during the broadcast.
  • Campus Signage – you may notice it’s easier to find your way around, thanks to the new signage installed at CELS, Sprague Library, Finley, RHC and the Alumni Green.

About LEED Certification

LEED stands for Leadership in Energy and Environmental Design. LEED projects earn points by adhering to prerequisites and credits across nine measurementsfor building excellence from integrative design to human health to material use. The LEEDrating systems work for all buildings at all phases of development and are meant to challengeproject teams and inspire outside-the-box solutions. Based on the number of points achieved, a project then receives one of four LEED rating levels: Certified, Silver, Gold, or Platinum. The School of Business met all prerequisites, earning 40 points to become LEED Certified.

The roll-up grill with glass partition has been installed to match the adjacent offices. Keep your eyes open for more improvements coming in the next weeks such as the main reception desk being replaced and the basketball gym getting new scoreboards at the end of September.
  • University Hall is undergoing an exterior face-lift. This project is a multi-phase project and will continue through summer 2021. Repair work of Phase I of the stucco exterior is almost complete.
  • The Student Center – New LED lighting has been installed in the NEST lounge as well as a fresh coat of paint to brighten things up. New finishes match the other renovated restrooms throughout the building.
  • Red Hawk Diner restrooms – Two restrooms were renovated, new ceramic tile walls and ceiling lights are much brighter.

  • The Panzer Pool has been re-tiled and painted, giving the pool a little bit of a face-lift!
  • University Facilities’ Architectural Services team is in the process of developing a large-scale 3-D model of the entire vlog campus for purposes of in-house design, documentation, and presentation. The project, entailing both a 3-D printed scaled physical model as well as a full-scale digital model, will contain all of our campus buildings as well as important information related to site topography, utilities, and infrastructure. This is one of the many ways we are continuing to innovate in the area of capital planning and project management.
