    Supervisors must approve employee time submissions no later than 7 p.m., Monday, January 17. This is the normal schedule for time approval.

If an AFT professional staff member or librarian worked on Friday, April 2, they will be given Friday, May 28, as a paid day off, or they may receive a paid day off on another date that meets the operational needs of their unit, with the approval of their supervisor. These employees should schedule this day off prior to Wednesday, June 30, 2021 and enter 7 hours of “AFT Holiday Taken” in Workday for their selected day off. As a reminder, you should have entered “AFT Holiday Accrued” for working on Friday, April 2.

For Managers

If a manager worked on Friday, April 2, they may take Friday, May 28 or another day with pay that meets the operational needs of their unit, with the approval of their supervisor. Managers should schedule this day with pay prior to Wednesday, June 30, 2021 and enter seven (7) hours of “Alternate Holiday Taken” in Workday for their selected day off. AFT Professional Staff

  • Worked Friday, April 2: Make sure you entered “AFT Holiday Accrued” into Workday on Friday, April 2.
  • Off on Friday, May 28 (or another date before Wednesday, June 30): Enter “AFT Holiday Taken” into Workday on your selected day off.

Managers

  • Worked Friday, April 2: Nothing should have been entered into Workday.
  • Off on Friday, May 28 (or another date before Wednesday, June 30): Enter “Alternate Holiday Taken” into Workday on your selected day off.

The University completed the rollout of preferred name for students in May of 2019. The policy will take effect for employees on Tuesday, October 1, 2019.

    Preferred Name Definition

    Preferred names are defined by the University as a name different from an individual’s legal name that the individual selects and the University approves for use within the University environment.

    Verifying or Changing a Preferred Name

    You can verify your preferred name by logging intoÌýÌýand viewing your preferred name on the landing page, or by searching for your name in the employee directory. If you need to update, request or remove a preferred name designation, please use the following steps below:

    Preferred Name Change Process

    1. Log intoÌý
    2. From your Home page, click on the “Personal Information” worklet.
    3. In the “Change” column, click on the “Preferred Name” button.
    4. Enter your Preferred Name in the “Prefix,” “First Name,” “Middle Name,” “Last Name” field.
    5. When finished click “Submit” at the bottom of the page.

    Approval Process

    • Requests for preferred last names will be approved on a limited basis, and must be based on some reasonable justification such as use of a professional name that is different from the legal name, such as a maiden name. The reason for a preferred last name request should be submitted as a Comment when requesting Preferred Name in WorkDay.
    • All requests are initially approved by the requesting employee’s immediate supervisor.
    • All requests are routed to the Vice President for Human Resources for final approval.

    Please Note:ÌýStudent employees must request preferred name changes both in Workday (for employee preferred name) and through request to the Dean of Students (for student preferred name).


    Where Preferred Names Will Be Displayed, Upon Final Approval

    As a reminder, preferred names will be displayed in place of legal names in:

    • Workday
    • NEST/Banner
    • University ID card (If requested and if associated fee is paid for replacement card)
    • Email display name (note – NetID does not change, once created)
    • Employee directory information
    • Class lists and grade reports (Banner)
    • Course evaluations
    • Learning management systems (Canvas)
    • Building/service access systems
    • Red Hawk Dollars
    • Class rosters (Banner and Canvas)
    • Convocation and Commencement programs and announcements
    • ServiceNow (IT and Red Hawk Central incident ticketing system)

    At this time due to technical constraints, only preferred first name can be displayed in all of the systems listed above. Preferred last name will be visible only in Workday, the employee directory, email display name, ServiceNow and Canvas.


    Legal Name Change/Update

    As a reminder, in the event that you are in need of updating your legal name, you may request those changes directly in Workday, as well.

    Legal Name Change Process

    1. Log intoÌý
    2. From your Home page, click on the “Personal Information” worklet.
    3. In the “Change” column, click on the “Legal Name” button.
    4. Enter your Legal Name in the appropriate fields (Prefix, First Name, Middle Name, Last Name, Suffix)
    5. Attach appropriate supporting documentation:
      1. A certified copy of a marriage certificate, court order, or dissolution decree reflecting the new name in full
      2. An updated Social Security Card, Driver’s License, Passport, Government or Military I.D.
    6. When finished click ‘Submit’ at the bottom of the page.

Workday Recruiting will automate the PAAF (Position Action Approval Form), job posting, candidate review and hiring processes. The purpose of this email is to communicate important implementation steps that Human Resources needs to take to prepare for the Monday, August 19 launch. These implementation steps are listed below.

    Please note the following does not apply to Faculty searches.


    Job Postings Created Prior to May 31, 2019 and Hiring:

    • Human Resources has started the process of contacting hiring managers to review the status of their current job postings.
    • For jobs that were posted prior to Friday, May 31 or have more than 100 applicants, we will suspend new applicants from applying to these jobs effective July 31st. Hiring managers will continue to have the ability to review the candidates that have applied to these positions and finish the search process.
    • If a final candidate is selected prior to Thursday, August 15, the hiring manager will use the current paper-based hiring process; final candidates hired after this date will be hired through Workday Recruiting.
    • If a hiring manager wishes to continue the search process after Thursday, August 15, please contact Human Resources and a job positing will be created in Workday Recruiting.

    Job Postings Created from April 1 to August 15, 2019 and Hiring:

    • Hiring Managers will use the existing paper-based PAAF and hiring processes for new job postings or hiring that needs to occur prior to Thursday, August 15.
    • In the event a job posting is still open as of Thursday, August 15, Human Resources will migrate the posting to Workday Recruiting effective Monday, August 19. Depending on the stage of the search (for example, initial candidate review or final candidate selection) some candidates may have to reapply in Workday Recruiting.

    Effective Monday, August 19, 2019:

    All position approval, job posting, candidate review and hiring processes will be conducted in Workday Recruiting.


    Workday Recruiting Training & Open Labs:

    • Training opportunities are available beginning the week of July 15. To register, go toÌýÌýand click on the Category dropdown menu, then choose Workday-HR to view available classes.
    • Beginning the week of August 19, Human Resources will offer walk-in Open Labs, in which users can bring their recruiting related transactions with them and sit side-by-side with Human Resources team members to input the transactions in Workday. More information to follow on the Open Lab dates!

    On Monday, August 19, Montclair State’s recruiting and employee life cycle activities will be combined into one system, creating streamlined hiring, improved team collaboration and a more consistent, engaging candidate experience from apply to hire.

    What’s Changing for Hiring Managers and Search Committees?

    Workday Recruiting offers the ability to review, screen, interview candidates in one platform, eliminating Position Action Approval Form (PAAF) and providing a central repository for a more streamlined, collaborative recruiting process.

    What’s Changing for Staff?

    Current employees will log into Workday to view internal job postings, apply for jobs and manage applications.

    What’s Changing for External Candidates?

    External candidates will create a Workday account to apply for jobs, with the ability to upload multiple documents.

    In addition, we will be extending the Workday Human Capital Management functionality to permit automated staffing requisition and applicant tracking, automated reappointment/performance management, and Affordable Care Act reporting.
