Top 3 Recurring Issues

  • Do not scan the QR code with your camera app. Doing so will lock you out of the system. Instead, use the Google Authenticator App to scan the QR code.
  • Enter your code without spaces.
  • Do not delete the Google Authenticator App as it is necessary to access SSO applications.

 


On Tuesday, October 3, 2023, at 3 p.m., all students and alumni with an active NetID will have to use Multi-Factor Authentication to access applications that are enabled with SSO (Single Sign On).

Using Multi-Factor Authentication will enhance the security of your account credentials when accessing vlog’s systems and better ensure that only properly authorized users are allowed access.

Important Campuswide Google Storage Policy Change /information-technology/2023/09/06/important-campuswide-google-storage-policy-change/ /information-technology/2023/09/06/important-campuswide-google-storage-policy-change/#respond Wed, 06 Sep 2023 14:19:14 +0000 /information-technology/?p=23570 In January of this year, Google implemented a paid storage model, ending many years of providing their Workspace for Education platform with free and unlimited cloud storage. The university now has a shared pool of storage based on our student and employee-paidemployee paid license count. We have been monitoring our total storage usage since January, and while it has remained fairly steady we have begun to approach the overall storage limit that we are licensed for.

For Employees: In order to ensure that we stay within the storage capacity of the Google Workspace tools we all rely on (Gmail, Google Drive, Google Calendar, etc.) Information Technology has implemented a 1Tb (terabyte) per-user default storage limit. This should be more than sufficient for 99% of our Google Drive and Gmail users. For the very small number of users who are consuming more than 1 Tb, IT has temporarily established higher quotas to avoid any unexpected storage warnings from Google. We will be contacting those users individually within the next few weeks to arrange for alternate storage options. (Note that any legitimate need for having a Google Cloud storage quota above the default 1Tb will be considered on a case-by-case basis.)

For Students: Student Google accounts also now have a 500Gb default storage limit, and as with employees, Information Technology has temporarily established higher quotas for the small number of students over the default quota to avoid any unexpected storage warnings from Google until those students can be contacted and alternative storage arrangements made.

DUO Multifactor Application Logins Update /information-technology/2022/10/18/duo-multifactor-application-logins-update/ /information-technology/2022/10/18/duo-multifactor-application-logins-update/#respond Tue, 18 Oct 2022 13:48:07 +0000 http://www.montclair.edu/information-technology/?p=22955 In our continuing efforts to improve security when accessing vlog online resources, Information Technology will be upgrading our Single Sign On (SSO) and our DUO Multi Factor Authentication services on Thursday, September 29th and Friday, September 30th to better protect your user credentials. The migration process will run between 7:00pm Thursday through 7:00pm Friday. During this time users will experience intermittent interruptions which could last up to 1 hour.  You should expect an interruption only if you are trying to log in to an application we are in the process of upgrading.  If you are already logged into an application, you will be able to continue until you log off.  SSO is new for the Google application.  If you have already set up Google two factor authentication, the new DUO authentication  solution overrides Google’s two factor verification feature.  Please see the image below for a complete list of affected SSO enabled applications or click on the .

What Do I Need To Know?

  • The migration process will not affect your login credentials and you will continue using your existing NetID and password.

  • After the migration process is completed all of the SSO-enabled services will require Multi Factor Authentication (MFA) through DUO. Starting Thursday evening September 29th, the Google applications suite will also be SSO-enabled and will require faculty and staff to use  MFA through DUO.

  • Assuming you are already using DUO with Workday, you will not need to re-enroll in DUO.  You have the option to enable the “remember me” checkbox on the DUO profile when logging into an application in order to remember your login for up to 12 hours for each application.

Any Zoom video files older than 90 days will be automatically deleted.  For example, any file recorded and stored on February 7th will automatically be deleted 90 days later on May 8th and so on.

What Do I Need to Do:

Schedule your Zoom sessions in Canvas (Faculty only)

To avoid the need to manually back up the zoom recordings, faculty should schedule Zoom sessions in Canvas. The Zoom and Panopto integration will allow sessions scheduled through Zoom in Canvas, and recorded to the Zoom cloud, to be automatically imported into Panopto Recordings in your Canvas course.

Please note that only those Zoom recordings scheduled in Canvas courses will be moved to Panopto Recordings, NOT recordings scheduled through montclair.zoom.us.

For Zoom sessions NOT through Canvas:

You should review and delete or move/archive your Zoom recordings in advance of our deletion dates to avoid surprises or loss of recordings you want to retain.

To see if you have recordings that need to be deleted or moved/archived, please follow these steps to view and download:

  1. Sign in to your Zoom web portal –.
  2. In the navigation menu, click Recordings.
  3. You will see a list of cloud recordings that you started.
  4. Adjust the date range and status, then search by “host”, meeting ID, topic, or keyword.
  5. Enter the desired date range in the “From” and “To” fields.
  6. Once you hit search, you will see all recordings within the date range selected.
  7. From there, you can choose to download each file or click and delete all.
  8. Once you have downloaded your videos, you may store it on your computer, or upload to Panopto (Faculty only).

Many of these applications will assist you with Collaboration, Workflow Optimization and Communication. These services and applications include Google Photos, Hangouts (soon to be called Google Chat and Google Meet), YouTube and Google Earth. Access these applications using the Google Waffle icon.

Please Note: Some applications are not supported by the Information Technology Division. A list of supported products can be accessed by visiting the “Google Email and Google Applications” section under Student Services or Faculty and Staff Services on the Information Technology website. Users should refer to Google’s online help feature for assistance with unsupported applications.

Zoom offers a full-featured web conferencing tool that allows participants to join via web browser, smartphone, tablet, or landline and supports live video and screen sharing.

Currently faculty are already licensed and are encouraged to use BigBlueButton, integrated with Canvas, for course-related web conferencing. Zoom is targeted for non-course-related web conferencing. All employees are by default able to join any Zoom conference and to initiate short (under 40 minutes) conferences. If you are not using BigBlueButton and need greater Zoom functionality, requiring a higher-cost license, please visit the website.

All SPAM detection and potential SPAM flagging is now being performed by Google Mail.

The antispam.montclair.edu interface will remain available to users until the end of September for retrieving messages flagged as SPAM prior to 8/31. However, note that no new potential SPAM is being stored in the Antispam quarantine as of 8/31.

Use the web-based Gmail client to go to the “Spam” folder as it is not accessible with Thunderbird or any other mail client.

Potential SPAM that is being flagged by Google will continue to be found in the folder called “Spam” in your Google Mail account. If you wish to recover an email that was flagged as SPAM by Google, go to the “Spam” folder, click the checkbox next to the message in question, and then click “Not spam”.
