Our trained AV Special Events staff ensure that your event technology is set up, tested, and supported so your program runs smoothly. Please Note:\u00a0 This request is for events and not classroom assistance or for delivery of equipment.<\/p>\n<p><strong data-start=\"805\" data-end=\"821\">Please note:<\/strong> This request process is designated for <strong data-start=\"861\" data-end=\"883\">event support only<\/strong> and does <strong data-start=\"893\" data-end=\"900\">not<\/strong> cover classroom assistance or equipment drop-off services.<\/p>\n<p>Typical support may include:<\/p>\n<ul>\n<li>Microphones and sound systems<\/li>\n<li>Projection, displays, and presentation support<\/li>\n<li>Video playback and sound reinforcement<\/li>\n<li>On-site technical staffing for the duration of your event<\/li>\n<\/ul>\n<p><span style=\"margin: 0px;padding: 0px\">Requests should be submitted\u00a0<strong>7 to 10 business days before<\/strong> the event date. Submissions made with less notice may not be approved due to staff availability.<\/span><\/p>\n<div>\n<hr \/>\n<div class=\"prpl-drawer open\"><div class=\"prpl-drawer-header\">Who Can Request AV Special Events Support<\/div><div class=\"prpl-drawer-content\">\n<ul>\n<li>University departments<\/li>\n<li>Student organizations (with advisor approval)<\/li>\n<li>External organizations using campus facilities<\/li>\n<\/ul>\n<\/div><\/div>\n<div class=\"prpl-drawer open\"><div class=\"prpl-drawer-header\">How Staffing Costs Work<\/div><div class=\"prpl-drawer-content\">\n<p data-start=\"876\" data-end=\"1027\">Currently, <strong data-start=\"887\" data-end=\"961\">AV staffing costs for University-sponsored events are centrally funded<\/strong> and do not result in direct charges to the requesting department.<\/p>\n<p data-start=\"1029\" data-end=\"1110\">However, funding is limited and dependent on responsible use. To ensure fairness:<\/p>\n<ul>\n<li data-start=\"1111\" data-end=\"1165\">\n<p data-start=\"1113\" data-end=\"1165\">Scheduled AV staff <strong data-start=\"1132\" data-end=\"1152\">must be utilized<\/strong> if assigned.<\/p>\n<\/li>\n<li data-start=\"1166\" data-end=\"1285\">\n<p data-start=\"1168\" data-end=\"1285\">If staff are scheduled and not used or canceled late, <strong data-start=\"1222\" data-end=\"1262\">the requesting group will be charged<\/strong> (see Charge Policies).<\/p>\n<\/li>\n<li data-start=\"1286\" data-end=\"1355\">\n<p data-start=\"1288\" data-end=\"1355\">Funding coverage is reviewed annually and <strong data-start=\"1330\" data-end=\"1354\">is subject to change<\/strong>.<\/p>\n<\/li>\n<\/ul>\n<p>For external organizations and non-University events, standard hourly rates apply:<\/p>\n<table class=\"rates-table\">\n<caption>AV Special Events \u2013 Hourly Rates<\/caption>\n<thead>\n<tr>\n<th scope=\"col\">Group<\/th>\n<th scope=\"col\">Hourly Rate<\/th>\n<\/tr>\n<\/thead>\n<tbody>\n<tr>\n<td>MSU Community<\/td>\n<td>$18\/hour<\/td>\n<\/tr>\n<tr>\n<td>Non-Profit Organizations<\/td>\n<td>$23\/hour<\/td>\n<\/tr>\n<tr>\n<td>For-Profit Organizations<\/td>\n<td>$27\/hour<\/td>\n<\/tr>\n<\/tbody>\n<\/table>\n<p data-start=\"1594\" data-end=\"1696\">Minimum staffing requirement: <strong data-start=\"1624\" data-end=\"1635\">2 hours<\/strong>, which includes <strong data-start=\"1652\" data-end=\"1696\">1 hour of setup and 1 hour of breakdown.<\/strong><\/p>\n<p data-start=\"1698\" data-end=\"1804\">A <strong data-start=\"1700\" data-end=\"1742\">dress rehearsal is strongly encouraged<\/strong> and may be required depending on the complexity of the event.<\/p>\n<\/div><\/div>\n<div class=\"prpl-drawer open\"><div class=\"prpl-drawer-header\">Charge Policies for Cancellations or Non-Use<\/div><div class=\"prpl-drawer-content\">\n<p>To ensure responsible scheduling and to prevent resource waste, the following charges will be applied:<\/p>\n<table class=\"charge-policy-table\">\n<thead>\n<tr>\n<th scope=\"col\">Situation<\/th>\n<th scope=\"col\">Charges Applied When\u2026<\/th>\n<\/tr>\n<\/thead>\n<tbody>\n<tr>\n<td>Cancellation with <strong>less than 48 hours notice<\/strong><\/td>\n<td>Applicable event staffing cost will be charged<\/td>\n<\/tr>\n<tr>\n<td>Host or group <strong>does not show<\/strong> for the event<\/td>\n<td>Applicable event staffing cost will be charged<\/td>\n<\/tr>\n<tr>\n<td>AV staff are scheduled but <strong>not used<\/strong> at the event<\/td>\n<td>Applicable event staffing cost will be charged<\/td>\n<\/tr>\n<\/tbody>\n<\/table>\n<p data-start=\"2557\" data-end=\"2574\">Examples include:<\/p>\n<ul data-start=\"2575\" data-end=\"2738\">\n<li data-start=\"2575\" data-end=\"2620\">\n<p data-start=\"2577\" data-end=\"2620\">Event ends early without prior notification<\/p>\n<\/li>\n<li data-start=\"2621\" data-end=\"2675\">\n<p data-start=\"2623\" data-end=\"2675\">Event proceeds without using the assigned technician<\/p>\n<\/li>\n<li data-start=\"2676\" data-end=\"2738\">\n<p data-start=\"2678\" data-end=\"2738\">Requester tells staff to \u201chang out\u201d with no responsibilities<\/p>\n<\/li>\n<\/ul>\n<p data-start=\"2740\" data-end=\"2815\">If staff are scheduled, they <strong data-start=\"2769\" data-end=\"2797\">must be actively engaged<\/strong> in event support.<\/p>\n<\/div><\/div><br \/>\n<span class=\"prpl-button\"><a href=\"https:\/\/montclair.co1.qualtrics.com\/jfe\/form\/SV_8CwM5sNepJ6H5VH\">Request AV Special Event Assistance<\/a><\/span><\/p>\n<\/div>\n","protected":false},"excerpt":{"rendered":"<p>The Division of Information Technology provides experienced Audio-Visual (AV) support for on-campus events by request.
