  {"id":3451,"date":"2023-01-17T11:00:44","date_gmt":"2023-01-17T16:00:44","guid":{"rendered":"https:\/\/www.montclair.edu\/provost\/?page_id=3451"},"modified":"2026-01-30T13:56:04","modified_gmt":"2026-01-30T18:56:04","slug":"course-evaluations","status":"publish","type":"page","link":"https:\/\/www.montclair.edu\/provost\/office-of-institutional-research-and-effectiveness\/course-evaluations\/","title":{"rendered":"Course Evaluations"},"content":{"rendered":"<p><span style=\"font-weight: 400\">As part of Montclair\u2019s effort to continuously improve, the Office of Institutional Research and Effectiveness (OIRE) administers <\/span><span style=\"font-weight: 400\"><em>optional<\/em> <\/span><span style=\"font-weight: 400\">and <\/span><span style=\"font-weight: 400\"><em>anonymous<\/em> <\/span><span style=\"font-weight: 400\">course surveys to our students.\u00a0<\/span><\/p>\n<p><strong>Which courses do you normally survey?<\/strong><br \/>\nBy default, we survey courses that meet one of the following criteria:<\/p>\n<ul>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Course is Full-Term (14-week) and taught in the Fall or Spring semester<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Course is designated as ONP (online-program)<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Course is taught by a Tenure-Track Faculty Member or a Teaching Faculty Member<\/span><\/li>\n<\/ul>\n<p>Any course that does not meet one of the above criteria must be requested by your department. If you want to request a survey for one of your courses, please contact <a href=\"mailto:course-survey@montclair.edu\">course-survey@montclair.edu<\/a> at least one month before your course is scheduled to end. We run requested surveys at our discretion, and we cannot accommodate projects requested after this deadline.<\/p>\n<p><strong>When are course surveys administered?<br \/>\n<\/strong><span style=\"font-weight: 400\">OIRE begins preparing survey projects two months before surveys open.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400\">Course surveys open approximately one to two weeks before the last day of class, and close a couple of days after classes end. Faculty get access to their survey results approximately one week after surveys close, after final grades have been posted.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400\">Students, instructors, and administrators will receive an email from <a href=\"mailto:course-survey@montclair.edu\">course-survey@montclair.edu<\/a> one week prior to surveys opening.\u00a0<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Emails with \u201cInstructor Notice\u201d in the subject notify instructors that the course they teach is scheduled for survey.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Emails with \u201cAdministrator Notice\u201d in the subject notify department and college administrators that one or more of the courses in their unit are scheduled for survey.\u00a0<\/span><\/li>\n<\/ul>\n<p><span style=\"font-weight: 400\">The timeline for course surveys in academic year and\/or department uses their own survey. You can find out which survey(s) are being administered for your course(s) by searching through our<\/span> <strong><a rel=\"noopener\" href=\"https:\/\/lookerstudio.google.com\/reporting\/a909513d-5f1b-412d-a314-1ac0dc0f377f\/page\/PLHbD\" target=\"_blank\">Course Survey inventory<\/a>. <\/strong><em>Note: you must have Montclair credentials to log in to our inventory.<\/em><\/p>\n<p><strong>How are results used?<br \/>\n<\/strong><span style=\"font-weight: 400\">Course survey results are used to improve curriculum and instruction at Montclair. Instructors use survey results to enhance their teaching and improve classroom experiences. Administrators take survey results into consideration when making departmental decisions regarding reappointment and promotion.<\/span><br \/>\n_______________________________________________________________________________________________________<br \/>\n<div class=\"prpl-drawer\"><div class=\"prpl-drawer-header\">Information for Students<\/div><div class=\"prpl-drawer-content\"><br \/>\n<strong>Where can I find my course surveys?<br \/>\n<\/strong><span style=\"font-weight: 400\">Surveys are administered online using the Watermark Course Evaluations and Surveys platform, which is integrated with Canvas (CES &#8211; formerly EvaluationKIT). You will receive emails from <\/span><a href=\"mailto:course-survey@montclair.edu\"><span style=\"font-weight: 400\">course-survey@montclair.edu<\/span><\/a><span style=\"font-weight: 400\"> with direct links to your surveys, as well as a pop-up message in Canvas.\u00a0<\/span>\n<p><strong>Some of my courses do not have a survey. Why?<br \/>\n<\/strong><span style=\"font-weight: 400\">Not every course will get surveyed. Per contract, tenured faculty may choose to opt out of course surveys for the fall and\/or spring terms. Likewise, we will not ask you to give us feedback if you are the only student enrolled in your course. You may email <\/span><a href=\"mailto:course-survey@montclair.edu\"><span style=\"font-weight: 400\">course-survey@montclair.edu<\/span><\/a><span style=\"font-weight: 400\"> to find out why your course is not being surveyed.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400\">We encourage you to give your feedback to your Department Chair when you are unable to give feedback via survey.<\/span><\/p>\n<p><strong>I made a mistake on the survey after I submitted. Can I fix it?<br \/>\n<\/strong><span style=\"font-weight: 400\">If the survey period has not ended, you can email <\/span><a href=\"mailto:course-survey@montclair.edu\"><span style=\"font-weight: 400\">course-survey@montclair.edu<\/span><\/a><span style=\"font-weight: 400\"> and we will reset your survey for you. However, if the survey period has ended, we cannot reopen your survey.\u00a0<\/span><\/p>\n<p><strong>I forgot to submit my survey before the survey window closed. Can you reopen it?<br \/>\n<\/strong><span style=\"font-weight: 400\">Unfortunately we cannot reopen surveys once the survey window closes. We encourage you to give your feedback to your Department Chair when you are unable to give feedback via survey.\u00a0<\/span><\/p>\n<p><strong>Will my professor know which survey is mine?<br \/>\n<\/strong><span style=\"font-weight: 400\">We have policies in place to ensure your responses remain anonymous:\u00a0<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">We do not survey courses in which only one student is enrolled.\u00a0<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Instructors get their survey reports after the semester is over and final grades have been posted.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Reports are de-identified.\u00a0<\/span><\/li>\n<\/ul>\n<p><strong>What happens if I don\u2019t submit a survey?<br \/>\n<\/strong><span style=\"font-weight: 400\">Survey participation is optional but highly encouraged. If you do not submit a survey, we will not be able to use your feedback to improve the course experience for students in the future. If you see the word \u201cStudent\u201d, switch to your \u201cInstructor\u201d page using the drop-down menu.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Since each department and\/or college uses a different survey, you may have multiple projects to review. Click one of the project name links inside the Project Results section of your landing page to start.\u00a0<\/span>\n<ol>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">This will take you to a page with links to download your reports. You will see a row for each course surveyed in the project.\u00a0<\/span>\n<ol>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Clicking <strong>&#8220;View&#8221;<\/strong> after each course will allow you to download a report based on that course specifically. You will have the option to download a:<\/span>\n<ol>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">&#8220;PDF&#8221; report: a summary of close-ended questions only<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">&#8220;PDF + Text&#8221; report: summary data and the comments you received on open-ended questions<\/span><\/li>\n<\/ol>\n<\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Selecting multiple courses and clicking \u201cBatch Report\u201d will allow you to download results for multiple courses at a time. Batch reports take some time to compile, so you will receive an email from CES when your batch report is ready to download.<\/span><\/li>\n<\/ol>\n<\/li>\n<\/ol>\n<\/li>\n<\/ol>\n<p><span style=\"font-weight: 400\">If your Watermark landing page displays the message \u201cno active surveys,\u201d it is possible that you are viewing your \u201cStudent\u201d page. Try toggling to your \u201cInstructor\u201d view using the link on the top right of your screen, next to your name.<\/span><\/p>\n<p><span style=\"font-weight: 400\">If you receive a pop-up message that says \u201cNo Results Found\u201d when attempting to download results this is not an error message. This message is an indication that there are no responses recorded for the evaluation and therefore there are no results to download.<\/span><\/p>\n<p><span style=\"font-weight: 400\">If you have difficulty accessing your survey results, please contact us at <\/span><a href=\"mailto:course-survey@montclair.edu\"><span style=\"font-weight: 400\">course-survey@montclair.edu<\/span><\/a><span style=\"font-weight: 400\">.\u00a0<\/span><\/p>\n<p><strong>How long will my results be available in CES?<br \/>\n<\/strong><span style=\"font-weight: 400\">Active Montclair employees will be able to access their survey results for at least 5 years after survey administration. Former employees lose access to CES once they separate from Montclair. It is recommended that departing staff save a copy of their survey results before they officially leave their position.<\/span><\/p>\n<p><strong>I should be associated with a course survey and I am not, or I am associated with a course survey and I should not be. How do we fix this?<br \/>\n<\/strong><span style=\"font-weight: 400\">Instructors are automatically associated with their courses based on course configurations in Canvas and Banner. In most cases, we only include primary instructors on a survey (as designated in Banner). Faculty and instructors can support participation by:\u00a0<\/span><\/p>\n<ol>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Providing time in-class to complete surveys where possible.\u00a0<\/span>\n<ul>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">For example, give students 10 minutes in the beginning or middle of class to fill out their surveys while you are out of the room.\u00a0<\/span><\/li>\n<\/ul>\n<\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Reinforcing for students why surveys are important to you and your colleagues.\u00a0<\/span>\n<ul>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">For example, tell students that you read them and learn from their feedback, which helps you improve your course for future students.<\/span><\/li>\n<\/ul>\n<\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Reminding students to look out for an email from <\/span><a href=\"mailto:course-survey@montclair.edu\"><span style=\"font-weight: 400\">course-survey@montclair.edu<\/span><\/a><span style=\"font-weight: 400\"> with the subject \u201cCourse Surveys Open\u201d<\/span><\/li>\n<\/ol>\n<p><span style=\"font-weight: 400\">Students cannot be required to complete course surveys, so incentives like extra credit, participation points, and\/or assignment credit is not permitted. Likewise, students should not be asked to share proof of survey completion with anyone.\u00a0<\/span><\/p>\n<p><strong>What guidance is available to me on utilizing my survey results?<br \/>\n<\/strong><span style=\"font-weight: 400\">We recommend contacting your Department Chair for guidance on integrating student feedback into your curriculum. Likewise, the Office for Faculty Excellence is available to help you find ways to <\/span><a href=\"https:\/\/www.montclair.edu\/faculty-excellence\/teaching-resources\/reflective-practice\/collect-information-about-your-teaching\/?\"><span style=\"font-weight: 400\">utilize your survey results<\/span><\/a><span style=\"font-weight: 400\">. You may review the content on their website and\/or <\/span><a href=\"https:\/\/montclair-faculty-excellence.libcal.com\/appointments#s-lc-public-pt\"><span style=\"font-weight: 400\">make an appointment<\/span><\/a><span style=\"font-weight: 400\"> with a faculty developer.\u00a0<\/span><\/p>\n<\/div><\/div><br \/>\n<div class=\"prpl-drawer\"><div class=\"prpl-drawer-header\">Information for Administrators<\/div><div class=\"prpl-drawer-content\"><br \/>\n<strong>Is any course exempt from survey?<br \/>\n<\/strong><span style=\"font-weight: 400\">Not every course will get surveyed. This tends to be one to two weeks after the survey period ends. Batch reports take some time to compile, so you will receive an email from CES when your batch report is ready to download.\u00a0<\/span><\/li>\n<\/ol>\n<p><strong>I work across multiple colleges\/departments and\/or with courses with various end dates. How do I know which courses are in which projects?<br \/>\n<\/strong><span style=\"font-weight: 400\">Courses are grouped into projects based on term, college\/department, and course end date. For example, survey results from a Fall 2023 History course that ends on 12\/17\/2023 will be in the \u201c202340 HIST Ending 12\/17\/23\u201d project.
